At ShipSimple, we understand how important your high-value and fragile items are. To ensure your products arrive safely and your shipping insurance is fully covered, it’s essential to package them properly. This guide will walk you through a step-by-step process, setting you up for success in protecting your valuable goods. We also recommend you document each stage with clear photos to verify that you’ve followed these instructions, providing you peace of mind in case a claim is necessary.
Step 1: Choose the Right Packaging Materials
The key to protecting fragile, high-value items is starting with the right materials:
- Sturdy Outer Box: Choose a double-walled corrugated box that's at least two inches larger than your item on all sides. For extra protection, consider using a second box.
- Cushioning Material: Bubble wrap, foam peanuts, or air pillows are perfect for cushioning your items.
- Protective Wrap: Use anti-static or foam wrap for electronics, and consider tissue paper or soft wrapping material for delicate items.
- Packing Tape: Use heavy-duty packing tape to secure your box properly.
Take a photo: Before you begin packing, take a picture of the materials you're using.
Step 2: Wrap Each Item Individually
For multi-part shipments or items with multiple pieces, wrap each part individually to avoid any contact or friction between them during transit:
- Use multiple layers of bubble wrap or foam for maximum protection.
- For extra delicate items (like glass), add a layer of tissue paper or soft cloth underneath the bubble wrap to prevent scratches.
Take a photo: After wrapping each item, take a picture to show you’ve secured each piece.
Step 3: Cushion the Bottom of the Box
Before placing your item in the box, create a cushioning layer at the bottom with at least two inches of foam peanuts, air pillows, or another padding material. This provides a protective buffer.
Take a photo: Snap a picture of the box showing the cushioned bottom.
Step 4: Place Your Item in the Box
Once the bottom is cushioned, carefully place your item in the center of the box, ensuring it doesn’t touch the sides. Fill all the gaps with padding to keep it from moving.
Take a photo: Show how the item sits securely in the box with padding all around it.
Step 5: Add Cushioning to the Top and Seal the Box
Add another two inches of padding on top of the item, ensuring it’s completely surrounded by cushioning. Seal the box with strong packing tape, paying extra attention to the seams.
Take a photo: Document the sealed box before applying labels.
Step 6: Label and Document
Clearly label the box as “Fragile” or “Handle with Care.” If possible, indicate which side should face up to prevent mishandling.
Take a photo: Take a final picture of the labeled box.
By following these steps and documenting your packaging process, you’re ensuring the best protection for your valuable shipment and setting yourself up for a smooth insurance claim process if needed.
